Job Title: Associate Director

Nature of Work:
The role of the Associate Director is to develop and implement a strategic plan in collaboration with the board to raise and grow vital funds to fulfill Voces de la Frontera’s mission to protect and expand the rights of low-wage workers, immigrants, and their families. The two primary responsibilities are to oversee fundraising and ensure integrity in the financial management of the organization. The development director is accountable to the Executive Director (ED) and reports to the ED and board on a regular basis. The Associate Director has an outreach role in the organization in developing and maintaining an ongoing relationship with major donors.Financial Management:
- Financial coordination with outside accountant on budget, cost centers and obtaining income/ expense statements to be consistent with grant budgets and contracts and prepare such reports for the Executive Director, Board of Directors and funders.
- Develop the annual budget with the Executive Director and Board of Directors.
- Meet regularly with the Finance Committee to monitor finances and develop budgets and report.
- Oversee and ensure legal compliance for financial management and government reporting of Voces de la Frontera 501c3 and Voces de la Frontera Action 501c4. This includes separating expenses, tracking lobbying and electoral activity, filing timely reports with the state and federal government.
- Supervise and ensure accurate account coding for weekly deposits of all cash and checks.
- Supervise and ensure accurate account coding for weekly batch of invoices that are sent to outside accountant.
- Supervise and ensure internal controls for all cash handling and financial management.
- Supervise filing and record management for all financial matters.
- Review and update internal controls with financial committee as needed.
Development Duties:
- Develop and execute annual development plan with new prospects, existing funding sources, fundraising activities and events.
- Develop and track proposals and reports for all foundation and corporate fundraising.
- Update and maintain grants calendar, tracking deadlines and reports of grant proposals, grant reports and prospective funders.
- Coordinate assessing and reporting of campaign and worker center activity and outcomes through a member- and staff- based participatory process.
- Assisting and coordinating in non-grant and fees for service revenue including newspaper ad revenue, radio ad revenue, translation services, membership dues, etc.
- Oversee organization of special events including annual gala.
- Coordinate individual giving including on-line, direct mail, Community Shares and major donors.
Human Resources:
- Supervise submission of biweekly payroll
- Oversee paid time off balances
- Coordinate new hire process, including appropriate paperwork and orientation.
- Maintain all personnel and payroll records.
- Assist Executive Director to ensure work plans and reviews are completed.
- Assist in completion of revised personal policies.
- Serve as liaison for health insurance plan
- Review and research cost savings for new insurance plans, research 401K options
Executive Director Support and Staff Development
- Assist ED in holding regular staff meetings
- Assist ED and Board in navigating staff and program growth.
Qualifications:
- BA or BS in related field
- Experience in social justice, issue-based organizing and strong commitment to issues
- Experience in administration and management of non-profit organizations
- Experience in fund development
- Strong technological skills and familiarity with databases.
- Strong interpersonal and communication skills, both written and verbal
- Ability to work independently and self-initiate
- Experience working in a bilingual/ bicultural environment
- Bilingual (Spanish/ English) preferred
