The Center for Volunteerism & Student Leadership of UWM - AmeriCorps*VISTA

DESCRIPTION -- The UWM Ctr for Volunteerism & Student Leadership (CVSL) has a great position open for a new college graduate!  If you are interested in community engagement, non-profit work, college student personnel or leadership development please consider applying for the 2011-12 AmeriCorps*VISTA position at the CVSL.  Our VISTAs work directly with college students to connect them to local non-profit agencies such as Big Brothers Big Sisters, the YMCA, Interfaith Older Adult Programs, local shelters and food pantries and many others.  They also coordinate one-day events such as the RAK-athon, the Hunger Clean Up, Toys for Tots, and more.

POSITION DESCRIPTION:
 
PAC seeks a dynamic, energetic, solutions-minded professional with a passion for community service, and demonstrated facilitation, project management, relationship building, and coaching experience to join our program team. We seek a candidate that will collaborate with our leadership team both locally and through our National Network to build and execute a Leadership Curriculum that addresses the development of our Allies and fulfills our mission while positioning PAC for growth. This position reports to the Program Director.
 
ESSENTIAL DUTIES and RESPONSIBILITIES:
 
§   Coordinate and manage Public Allies Chicago’s Leadership Series and 2nd Year Ally Program
§   Manage up to 15 Allies in their professional and leadership development
§   Responsible for robust engagement of all Partner Organizations and other stakeholders
§   Manage up to 3 Team Service Projects that are aligned with the strategic vision of PAC
§   Own reporting responsibilities with clarity and consistency
 
Leadership Series Training:
 
§   Ensure that PAC’s mission and values are foundation of training curriculum providing a balanced approach of social justice learning and pragmatic leadership
§   Develop strong measures and assessments of Ally learning and performance
§   Collaborate with ED on funding proposals that strengthen the Leadership Series
§   Recruit and assess talented community, academic and industry leaders as pro-bono trainers
§   Ensure that all sessions have clear objectives and take-aways
§   Facilitate Training evaluations using online tools instituting changes as needed
§   Manage and oversee 2nd Year Ally Program – coordinate trainings, build a network of stakeholders to serve as mentors, research trends to complement curriculum, prepare summary reports for evaluation purposes
§   Establish framework for Alumni development toward stage 2-5 Leadership Development
 
Ally Management:
 
§   Coach up to 15 Allies in their personal and professional development, via supportive and direct feedback toward best practices, utilizing assets, finding solutions and celebrating successes
§   Communicate PAC expectations and ensure Allies are on track to complete performance objectives and provide coaching to ensure the retention of 90% of Allies.
§   Ensure integrity of Ally files in accordance with PAC and AmeriCorps regulations
 
Partner Organization (PO) Engagement:
 
§   Provide excellent customer service between PAC and up to 15 of our Partner Organizations (PO’s) balancing the needs of the partner organization and the development of the Ally
§   Provide no less than 4 Partner trainings and networking opportunities that deepen our collaboration and provide useful learning for supervisors to more effectively manage our Allies
§   Ensure all PO’s are compliant with all program requirements
§   Work with assigned PO supervisor to develop performance plans that ensure Ally success
§   Identify potential pro bono trainers within our PO’s
§   Conduct no less than 5 site visits per Partner site
 
Team Service Project (TSP) Management
 
§   Oversee site selection, standards and benchmarks for Team Service Projects
§   Fully vet all potential community partners submitted by each Team to ensure potential for sustainability and completion of objectives
§   Ensure team dynamic fosters growth, collaboration, and learning for all team members
§   Promote the work of each team and garner local community support and media coverage to bolster PAC’s presence in Chicago
 
Administration, Data Management, and Evaluation
 
§   Ensure timely completion of all reporting required by Allies and Partners
§   Ensure integrity and relevance of data reported in the PISD by Allies
§   Internal Monitoring of Compliance and Ally performance
§   Conduct bi-yearly formal evaluation of Ally performance and development utilizing 360 tools.
§   Work with PO supervisors to implement performance improvement plans as needed

Program Director, Emerging Black Male Leaders Project - Public Allies, Inc

Emerging Black Male Leaders Project
In August 2010, we will launch an initiative to better support the success of young African-American men in developing their leadership capacities. We will pilot a program in Baltimore, MD, Chicago, IL and Milwaukee, WI that supports 18 African-American men as fellows in a comprehensive leadership program. Core to their experience will be an internship with a local youth development organization where they will work directly with teenagers to positively impact their communities and build personal visions for their future. The Program Director serves as a facilitator, thought partner and lead administrator of the pilot.

Essential Duties and Responsibilities
? Under the direction of the Vice President of Programs, designs and oversees day to day quality and management of the pilot program
?Plans and executes program delivery through local established Public Allies sites in Baltimore MD, Chicago IL and Milwaukee WI, building and maintaining strong and generative relationships with our partners in those cities
?Develops leadership curriculum resources and pedagogy for two key stakeholder groups- 18 Allies participating in the core Public Allies program and the teenagers with whom Allies work on a day to day basis
?Creates and integrates evaluation plan for the initiative, benchmarking and documenting program effectiveness, including progress toward outcome achievement and other successes, challenges and areas for improvement
?Implements virtual and in-person training and development events for local staff and program participants
?Oversees the execution of intergenerational leadership summits in local pilot communities focused on supporting emerging male African-American community leaders
?Works with VP of Programs and national program team to integrate pilot program with core operations and broader organizational strategies
?Develops and brokers relationships with potential external partners and supporters of the initiative in Baltimore, Chicago and Milwaukee
?Identifies opportunities that can support the growth, innovation and replication of the program model
?Maintains relationships with peer organizations doing similar work to support young black men, and participates in network of grantee organizations, gleaning knowledge and other resources that can enhance the initiative
?Coordinates field operations in partnership with local site directors and program staff
?Oversees budget and maintain accountability for all project expenditures and grant obligations, including but not limited to program and financial reporting, articles, white papers and other forms of reporting

Admission Possible is seeking an External Relations & Operations Coordinator to support our program in Milwaukee.

Admission Possible is a ten-year-old nonprofit organization dedicated to helping promising, motivated low-income young people earn admission to college. We identify students with the motivation and potential for college, and then provide them with (1) SAT/ACT test preparation; (2) guidance in the college application process; (3) assistance in the financial aid application process; and (4) guidance in transition to college. In 2009-2010, we served more than 6,200 low-income students in 23 high schools in the Twin Cities and Milwaukee and on 150 college campuses nationwide. Since our founding in 2000, we have succeeded in helping more than 98% of our students earn admission to college!

In Milwaukee, we deliver our services to 140 low-income high school juniors and seniors in four high schools with a staff of 2 AmeriCorps VISTA Members, 10 AmeriCorps state members and a full-time, regular staff of 4. To learn more, please visit: www.AdmissionPossible.org.

I. Job Summary

The External Relations & Operations Coordinator serves as lead support to the Executive Director - Milwaukee in fund development, internal and external communications, and day-to-day operations including bookkeeping/accounting, office management and human resources. This position is based in our Milwaukee office and will directly supervise two to three VISTA members and/or part-time workers.

II. Specific responsibilities

A. Fund Development (45-50%): Responsible for supporting all annual revenue goals and development activities for Greater Milwaukee. Work with the Executive Director – Milwaukee to implement all components of the strategic fundraising plan for institutional and individual donors including prospecting, cultivation, solicitation and stewardship. Leverage Executive Director and Advisory Board members in managing donor relationships. Manage all aspects of a grants and reports calendar and serve as lead grant writer. Run all direct mail campaigns and small scale fundraising events. Lead all development operations including gift processing, donor recognition, and data integrity management of the donor database. Manage and solicit all in-kind donations. Support the Executive Director in developing annual fund development plan and contribute Milwaukee related information to national fundraising efforts coordinated by the Central Office.

B. Communications (25-30%): Responsible for increasing and managing Admission Possible’s brand identity in the community through media relations and public outreach. Provide all local content for marketing materials including brochures and tri-annual newsletters. Manage online Greater Milwaukee communications including constituent e-mail blasts and regional website content. Support Executive Director – Milwaukee in media relations efforts including leading local news release writing and media pitching. Provide support to full Leadership Team in managing relationships with non-donor external audiences and lead data integrity management of these constituencies in database. Support Executive Director – Milwaukee on all internal communications. Contribute Milwaukee related material to national communication projects, as required.

C. Operations (20-25%): Serve as the lead for all technology and office management needs for the site, and work with the central office to coordinate all accounting and human resource functions for Milwaukee. Provide general bookkeeping/accounting functions for the site. Assist with monthly financial reporting and annual audit needs. Coordinate all purchasing, receiving, and vendor relations for the site. Assist with computer/technical equipment and provide support for troubleshooting all problems. Be responsible for the general presentation of the office. Serve as the local human resource contact for Milwaukee staff; with responsibility for maintaining personnel files and fielding questions and concerns regarding benefits, reimbursements and taxes. Keep up-to-date with Wisconsin employment regulations and ensure compliance with applicable federal and state laws.

III. Specific Requirements
• Bachelor’s degree and minimum of 1-3 years fund development experience required.
• Previous experience with communications, accounting, and/or Wisconsin-based human resources preferred
• Prior supervisory experience preferred
• Prefer previous successful grant writing experience
• Prior technology trouble-shooting and/or office management experience helpful
• Passion for organization’s mission and a strong spirit of social justice and public service
• Flexibility and strong problem-solving skills to deal with daily and weekly challenges as they arise and to respond to opportunities as they present themselves
• Strong attention to detail and eagerness to create order
• Excellent written and verbal communication skills and strong interpersonal skills
• Self-starter with the ability to prioritize multiple projects and deadlines simultaneously in a fast-paced environment
• Ability to focus on outcomes and meet deadlines
• Strong computer skills, including proficiency with Microsoft Word, Excel and PowerPoint; prior experience with fundraising (Blackbaud’s Raiser’s Edge), design (InDesign) and/or accounting software preferred. Basic troubleshooting skills helpful.

I. Job Summary

We are seeking a dynamic, high-energy, idealistic leader to join our successful, growing organization as part of our program leadership team. The Program Coordinator helps coordinate Admission Possible programs within the Greater Milwaukee schools by supervising, training and supporting 5-8 AmeriCorps Members.

II. Specific responsibilities

A. Supervise, Train and Support AmeriCorps Members: Duties include providing daily support, guidance, and oversight to Corps members to ensure excellence in service, troubleshooting problems and issues as they arise, evaluating performance through check-ins and session observations, and working with other staff to ensure the highest quality of service to students, sites, and Corps members. The Program Coordinator will help coordinate trainings for AmeriCorps members, evaluate trainings, and summarize all information for future reference.

B. Develop and Maintain High School Relationships: Work to build and maintain successful relationships with assigned high schools by coordinating service delivery to sites on an ongoing basis and maintaining communication with key contacts at each school. Meet with school administrators, counselors, and key contacts monthly throughout the year to ensure program quality and successful communication. Create and distribute quarterly program updates, attend school outreach events (i.e. parent teacher conferences), and establish successful communication as the organization’s lead ambassador to assigned high schools.

C. Develop Curriculum and Ensure Program Quality: Oversee the implementation of curriculum for both the Junior and Senior years, including ACT/SAT preparatory lessons and worksheets, financial aid workshops, essay writing lessons, etc. This staff member will identify, request and obtain pertinent resources to the program including course books, Corps development materials, testing materials and other miscellaneous resources. He/she will also help identify appropriate timelines for both junior and senior work, making sure the program adheres to such timelines. The Program Coordinator will help ensure that students are informed about and encouraged to participate in other activities outside of regular classroom sessions, such as college visits, practice ACT exams, summer enrichment opportunities, and program-wide events, and will help to coordinate those events as assigned. The Program Coordinator will also be responsible for helping to maintain the record of results in ACT score increases, summer enrichment applications, campus visits, admittance to college, and financial aid.

D. Evaluate, Track and Report on Progress: Assist the Program Manager in the tracking, evaluation and reporting of Admission Possible student progress in all major program areas, and the identification and recruitment of students and AmeriCorps members for Admission Possible PR activities. The Program Coordinator will assume some of the responsibilities pertinent to AmeriCorps Program Directors, including the maintenance of member files and web reporting of member hours. Position requires knowledge of specific AmeriCorps guidelines, making sure all aspects of the program consistently adhere to such guidelines.

E. Recruit Program Participants and Staff: Work with program team to recruit and select students and AmeriCorps Members for the coming program year. This may include calling, e-mailing, and posting announcements, holding information sessions, and answering applicant questions. Program Coordinator will participate in the selection process, and will help coordinate student and AmeriCorps Member communication once the selections have been made.

III. Required Skills

We seek applicants with a passion for our mission and a strong commitment to public service and social justice. In addition, the successful candidate will have:

• Bachelor’s degree and at least one year of full-time work experience required. Teaching and/or college admissions experience desired. Supervisory experience preferred, but not required.
• Experience with AmeriCorps, VISTA, or other service programs preferred.

Public Allies Milwaukee Fellowship

The Public Allies Milwaukee Fellowship Program will enter its sixth year in September 2010. During their first year, Allies learn about values-based leadership and develop skills to put into practice in their service at local organizations. The Fellowship Program builds on the apprenticeship experience of a first year Ally by offering individuals continued investment and support in their personal growth as an emerging leader, professional development in the non-profit field and continued involvement with both the Public Allies and the Greater Milwaukee Communities. Public Allies Milwaukee is excited to advance the work of our community partners and the dynamic young people of Milwaukee. As a premiere leadership development organization in Milwaukee, we are advancing new leadership to strengthen communities, non-profits and civic participation.



Fellowship Program Breakdown

Service Hours
Participants in the Public Allies Milwaukee Fellowship Program must complete a minimum of 1700 hours between the beginning of the program and graduation. This number is a combination of both hours served at placements and hours served during Fellows Time. On average, 3 hours per week will be utilised as Fellows Time. This time will be used by the Fellows to work on the non-placement aspects of the program, including: the receiving of coaching from Public Allies staff, the pursuit of training opportunities and the planning of Service Days with other members of the Fellowship Program. This will total approximately 160 - 200 hours over the course of the ten month term. This does not include time spent on non-placement Public Allies activities outside of the normal work week. The remaining approximately 38 - 40 hours each work week will be utilized at the Fellows’ respective placements. The amount of hours the Fellows spend on non-placement activities each week will vary. For example, four hours may be spent one week, seven hours the next and one hour the next.

The Fellowship Program will provide opportunities for development in four main areas:
1. Placement work at a community non-profit.
2. Advanced educational seminars and trainings that focus on the personal and professional skills that are required within the non-profit sector.
3. 2 Fellow-led trainings & 2 coordinated Service Days (working with other fellows)
4. Individual Study Project

Community Apprenticeship
The mission of Public Allies is to advance diverse young leaders to strengthen communities, non-profits and civic participation. It is our wish to continue to strengthen the non-profits in our community by providing an opportunity to not only work with an emerging leader in the Milwaukee community, but a Public Allies Fellow who will be part of a collaboration where there will be an exchange of ideas, innovative thinking and learning.

It is our hope that the continuation of an Apprenticeship will offer an opportunity for increased responsibility, autonomy, leadership, and an opportunity to impact a vital field of the nonprofit community. Organizations will continue to receive the benefits provided by the Public Allies Network. This includes networking with other organizations in the Alliance, co-supervision and coaching of the Fellow, the continued investment in the Fellow’s development, and an increase in the number of hours that Fellows are serving at their apprenticeship sites.

Fellows will serve approximately 38-40 hours a week at their Partner Organization creating and expanding services for our community. In order for this to be a worthwhile experience for Fellows we will be looking for Partners to articulate a specific vision of new opportunities for growth and leadership.


Educational Seminars
Each Fellow receives an Individual Development Account of $1000.00 (provided by host organization) to be used for educational seminars, conferences and trainings. At the beginning of the program year Fellows will take part determining areas of further growth they would like to develop. Additionally, Fellows will gain program management knowledge by helping Public Allies program staff with first-year Ally program including leading and attending some training sessions and Ally and partner organization recruitment and alumni engagement.

Each Fellow will be challenged with the task of facilitating two training sessions for the current class of Allies. Fellows will gain valuable experience in group facilitation by a training and to sharpen their ability to make public presentations and receive feedback for continued growth in this area.


Individual Study Project
Four to eight hours per month (not including non-Public Allies time) will be allocated for Fellows to develop an Individual Study Project that will address their passion(s) of Social Justice. As Public Allies Alumni, members of the Fellowship Program will possess the skills and relationships to leverage the resources necessary to make such a project possible. Fellows will be encouraged to harness the experience gained from their first year in order to identify an area of interest, research, and present a project to the ally class at the end of the ally year. This project gives the fellows an opportunity to demonstrate the leadership skills they have gained from two consecutive years of being an Ally and incorporating the Public Allies learning outcomes.


Continuous Learning Tools
Completion of all Continuous Learning Tools (see below), while they may not be identical in form, is required of all Fellows just as they are required of first year Allies.
a. Professional Portfolio – Due at Final POL
b. Presentations of Learning – At the end of program year.
c. PISDs – Personal Impact System of Documentation
d. 360’s – Evaluations, including 3-way meetings and report & action plan.
e. ISP – Independent Study Project


Retreats
Participation in all retreats is a requirement for graduation from the Fellows program. The level and form of participation may not be identical to the first year experience, however participation is required.


Individual Development Plan
At least one hour per month will be spent in Individual Development Plan meetings with the Fellow’s Program Manager.


3-Way Meetings
At least three meetings between the Fellow, Program Manager, and Partner Organization Supervisor will take place throughout the year.
